Conference ServiceOrganising any event provides the opportunity to introduce new ideas, promote the work of your organisation/department, share best practice/experience, network and generate ideas. . . . . . . . . . . . . . . .Any event is time consuming and challenging, but with the help of our department we can manage your whole event for you. We search the most cost effective quality options, source the best locations and where necessary source sponsorship for your event. With our flexible approach we can ensure a smooth and seamless event. Our main areas are as follows: Venue sourcing and liaison Locate the right venue at a competitive rate and liaise with the venue staff to ensure you get the right kind of service. Design Provide professional coordinated literature, badges, forms, directional signs and delegate packs, which can incorporate logos and colour schemes if necessary. Marketing and Distribution Design flyers and marketing literature and distribute through the most appropriate channels which can be paper based through forms, via email or hosted online. Delegates Collate delegate responses and registrations to build up a comprehensive database of delegates providing regular updates on attendees and numbers. We also respond quickly to telephone and email enquiries from potential delegates. Pre-registration Confirmation of registration and receipt of payment will be sent to delegates, enclosing a personaled itinerary and a map of the venue. Payment If your event is fee based, we will record and process all payments, via cheques, invoices, direct transfers, and all major credit cards. Speakers We will look after your speakers and their travel, accommodation and audio-visual requirements as well as producing thank you letters. Accreditation We apply for relevant accreditation and ensure delegates receive a certificate of attendance. Sponsors Where applicable we can organise sponsors to raise revenue by selling exhibition space, in addition we will look after their needs on the day and collect sponsorship fees. Catering and entertainment We will work with the venue caterers to provide you with creative menus to suit your event and your budget, always bearing in mind delegates' dietary requirements. We will organise a conference dinner and entertainment, as a finale to your conference if required. Accommodation If your delegates are staying overnight, we will ensure they are provided with all local information on places to stay at discounted rates. Transport We have valuable contacts with transport suppliers to ensure that all conference transport requirements are trouble free. On-site registration We will welcome delegates with a smile and make sure they have everything they need by providing an efficient, friendly and professional front of house service. Budgeting, payments and finances Budgets will be drawn up for every event and managed ensuring that all accounts are settled, expenses are paid and the books balanced. Technical and AV support All AV equipment is set up and technical support is on hand, if required. Evaluation and feedback A full evaluation summary covering the day's event will be prepared for every event. |
